For food, drink, hospitality & retail

Systems for the repetitive work. Your people for everything that needs them.

I build simple systems that take the repetitive work off your team: replying to new enquiries, keeping customer details up to date, checking in on customers who’ve gone quiet, and answering the questions staff ask every week. They run inside the tools you already use, and I keep them running with you.

The problem

The busier you get, the more gets dropped.

When a business is small, the people who know the product and the customers best also keep the records and handle the follow-ups. That works for a while.

As it grows, things start to slip: a message nobody answered, a customer record nobody updated, a regular who quietly stopped coming back. And a lot of how the business runs lives in one or two people’s heads.

What I build

Four areas I can take off your team’s plate.

Use what works. Build what’s missing. Connect it all. If a tool you already have can do the job, we use it. Where it can’t, I build the missing piece and connect it to the rest. We start with one area and get it running before adding the next.

01

Your customer list, in one place

Every customer, contact and location together: duplicates cleaned up, businesses with several locations set up properly, and new details checked before they’re added.

02

Finding new customers

Working out which businesses are worth selling to, reaching out to them personally, and following up until they order. Every new customer tracked from first message to first order.

03

Follow-up that never gets forgotten

Every enquiry answered, regular customers tracked, and reminders that run on their own, so a real person reaches out when a customer goes quiet.

04

Your know-how, written down

Standards, processes and the way your business works, organized so anyone on the team can find and use them, and new people get up to speed without asking the same questions.

What stays with your team: hospitality, relationships, tasting and judgment calls. The systems handle the routine work, and you check anything important before it goes out.

Recent work

Three systems I’ve built.

Prospecting and outreach tools for hospitality companies, a stock and waste app for a distributor, and the time and invoicing tool I run my own business on.

How it starts

We start with a three-week diagnostic, then build.

  2. FindWeek 2
  3. PlanWeek 3
  4. BuildSet up
  5. RunMonthly
Week 1 · Map

Understand how things run today

I look at how your customer records, sales and follow-up actually work, and where the hours go.

Week 2 · Find

Choose what to fix

We work out which tasks software and AI can handle reliably, and which should stay with people.

Week 3 · Plan

Plan the build

You get a 90-day plan ranked by impact, and I walk you through it. Everything I find goes straight into the build.

It’s one fixed fee, with no retainer required. If you go ahead with the build, the fee is credited toward it.

Why Mythaeon

The name comes from two Greek words: mythos, the stories and knowledge we inherit, and aiōn, an age, or something that lasts.

Food and drink runs on knowledge passed down over generations: how to grow it, make it, serve it and look after the people eating it. I don’t think that part should ever be automated. The paperwork and chasing around it can be, and that’s what Mythaeon is for.

Evolving what endures

About

“I’ve worked in kitchens and I’ve built sales systems. I started Mythaeon to bring the two together.”

I started out in restaurants, including some high-pressure kitchens. Then I moved into sales: first booking meetings, then closing deals, then building the systems sales teams run on. I’ve been the one using these tools every day, so I build them to be easy to use.

Today I set up customer lists, outreach, follow-up and AI tools that do the repetitive work, and I always start by understanding what your business needs before anything gets built.

Who I work with

  • Hotels, restaurants, cafés, bars and caterers
  • Food and drink producers and brands
  • Distributors and wholesalers
  • Specialty shops and food and drink retailers
  • Businesses that compete on quality rather than price

Questions

Before you book.

Do I need to buy new software?

Usually not. I start with the tools you already pay for and only suggest something new when what you have can’t do the job. If something custom is needed, I build it to connect to the tools you already use.

How much does it cost?

Every project has a fixed price, agreed before any work starts. The three-week diagnostic is one fixed fee with no retainer, and if you go ahead with the build, that fee is credited toward it. Ongoing monthly support is optional.

How long does it take?

The diagnostic takes three weeks. Builds are scoped in the 90-day plan it produces, and I keep them tight so you see results within weeks, not months.

Who owns what you build?

Your data and your accounts stay yours, and what I build inside your tools stays there and keeps working if we stop. A few tools I’ve developed across projects are licensed to you for your business rather than sold outright, and I’ll tell you which ones before we start.

Will AI make mistakes with my customers?

Anything important is checked by a person before it goes out. Every new automation runs in draft mode first, so you see exactly what it would do before it does anything on its own.

Do you work in Spanish?

Yes. I work in English and Spanish, including calls, documents and the systems themselves.

What happens after the diagnostic?

You keep the plan whether or not we keep working together. If you want me to build it, the diagnostic fee goes toward the build. If not, you have a clear, ranked plan to hand to anyone.

Next step

Tell me where the time goes.

In a 20-minute call, I’ll ask how your week actually runs and share the first process I’d hand to a system. There’s no deck and no hard sell.
